What you need to start

Courses and tariffs

A list of courses with prices and one or two tariffs per course. Decide whether an unexcused absence is charged and how many hours’ notice makes it excused.

Teachers and hours

Who teaches which groups and when they work. The school will not put a lesson on top of another lesson or a private booking of the same teacher.

Students and payers

A list of students and parents: name and the payer’s phone or email. Children need a parent’s consent to the processing of personal data.

How families pay

Cash and bank transfers are recorded manually; POS payments come with a receipt; online payment by link needs a connected payment provider.

Your first workflow

    Add a course and a tariff

    Choose “Education” when you sign up and add a course to the catalog. We set up the absence policy and the first tariff — monthly or a pack of lessons — together during onboarding.

    Build the first group

    Set the teacher, days and times. The school lays out lessons eight weeks ahead and checks that the teacher is free at those times.

    Enrol students and run a lesson

    Enrol two or three students on a tariff, mark attendance in the register and check the charges and the family balance. Then send the family a link to their portal.

How the school decides whether a lesson is deducted

Example: a pack of 8 lessons and a 12-hour notice window. The site test runs these three cases through the school’s real billing core. A live register, payments and emails are not covered by this check.

    The policy is a school setting

    The school chooses whether an unexcused absence is charged, what happens to an excused one (kept, charged or moved to a make-up lesson) and how many hours of notice are required.

    The teacher marks the lesson

    Marks are present, late, excused and absent. An excused absence reported after the window counts as unexcused — the rule decides, not an argument.

    Charges and balance update themselves

    After marking, the school recalculates charges and the family balance. A lesson cancelled by the school is never charged. Changing a mark later posts a correction instead of rewriting history.

Kids’ groups pay monthly, adults buy packs of 8 lessons, exam preparation is a course in instalments. Each group has its own tariff; a family with two children has one balance.

Online tutors

Groups and private lessons over a Zoom link or a Jitsi room the school creates itself. Students join from their portal 15 minutes before the lesson.

Frequently asked questions

Do I have to mark every student at every lesson?

No. In “auto” mode unmarked students count as present once the lesson ends; you mark only absences and late arrivals. In “check-in” mode it is the other way round.

How do families with several children pay?

A family has one account: charges for all children, one payment, one invoice with lines per student. The school sets an optional sibling discount.

Can I run private lessons?

Yes: a regular timetable as a one-student group, one-off lessons as an ordinary booking with the teacher that is posted to the student’s account.

Do parents see grades and homework?

Yes, in the portal link: schedule, attendance, grades, lesson topic and homework, balance and invoices. Families do not see other students or staff comments.

How do I set up online lessons?

In the group, choose “Create a video room automatically (Jitsi)” or paste your Zoom, Meet or Teams link. Students see “Join the lesson” 15 minutes before it starts.

What about children’s personal data?

Names and contacts are stored in a separate protected vault; school documents keep only labels. A child needs a separate parental consent record, and the retention period after leaving is tracked automatically.
